The OneIT Procurement of Software and Hardware Project achieved closeout at the June 21 Operations Team meeting as the project team reported on its accomplishments.
With the purchasing department, the team completed a strategic sourcing initiative with Iowa State and the University of Northern Iowa to standardize end-user-device hardware configurations, negotiate the best price, and manage devices more cost effectively.
The project also included a Virtual Desktop Infrastructure (VDI) cost analysis, finding limited use cases and concluding that the existing PC purchasing model is currently best for the campus. UI will periodically revisit the issue in case circumstances change.
A new workflow process was implemented to review technology for cost, licensing, accessibility, and security, and to provide requestors with better insight into the status. Since it became available in October 2017, more than 180 software titles have been submitted. Work continues to find ways to clarify and streamline the requirements and shorten the review timeline.
This review process also provides a mechanism for CIO visibility of technology purchases. Work will continue to apply conditional logic in purchasing workflow to route all items within certain categories or over certain price thresholds to the CIO for approval.
